RODO Data processing

Żubrówka Hotel makes every effort to ensure that guest data are processed in accordance with the highest security standards in accordance with the General Regulation on the Protection of Personal Data of 27 April 2016 (Official Journal EU L 119 of 04.05.2016) (called then RODO).

We'd like to let you know at the same time that:

1. the administrator of your personal data is IWA Sp. z o.o with the registered office at ul. Pałacowa 6, 17-230 Białowieża;
2. you can contact the data protection inspector via email correspondence at inspektor@hotel-zubrowka.pl;
3. the purpose of the processing is:

• handling of incoming queries submitted electronically - pursuant to Art. 6 par. 1 lit. a RODO - consent of the data subject;
• hotel room reservation - based on Art. 6 par. 1 lit. a RODO - consent of the data subject;
• implementation of the hotel service contract - pursuant to Art. 6 par. 1 lit. b RODO - in order to conclude a contract;
• marketing of personal data administrator services - pursuant to Article 6 para. 1 lit. a RODO - subject to the consent of the data subject;
• ensuring the safety of people and property located in a hotel and restaurant through the use of video monitoring, by collecting a phone number of a person using a hotel service,
• collecting hotel guests data including children (applies to persons who are not a party to the service contract) hotel room - accompanying persons), by collecting registration numbers of cars of hotel guests - pursuant to Art. 6 par. 1 lit. f RODO;
• in order to fulfill the legal obligation (issuing an invoice documenting the performance of the service) - pursuant to Art. 6 par. 1 lit. c RODO.

4. personal data will be stored: 

• regarding submitted inquiries - for a period of 30 days from the end of correspondence
• regarding submitted reservations - for a period of 12 months from the date of booking;
• regarding the implementation of a contract for hotel services or necessary to issue an invoice - for a period of 5 years from the end of the year in which the hotel was staying;
• processed for marketing purposes - until the consent of the data subject or the cessation of the business reason is revoked;
• in video monitoring systems - for 30 days;
• regarding accompanying persons, telephone numbers, registration numbers - for a period of up to 30 days;

5. recipients of personal data can be:

• provider of the hotel services reservation platform (if the reservation will arrive via the booking portal);
• companies providing marketing services (for people who have agreed to receive commercial information);
• application provider for sending commercial information (for people who have agreed to receive commercial information);
• application provider used to manage hotel reservations (for persons who have made a reservation, they are a party to a contract for hotel services and accompanying persons);
• entities authorized to obtain personal data on the basis of legal provisions;
• security company and provider of object monitoring solutions in the field of a fixed image,

6. you have the right to request from the administrator access to personal data, the right to rectify them - concerns the objectives arising from legitimate interests pursued by the administrator or the implementation of a hotel service contract or fulfill a legal obligation, and to which the consent has been given - you also have the right to remove or limit processing, the right to transfer data, the right to object to the processing, the right to withdraw consent at any time. In order to implement the above rights, please contact the inspector.
7. you have the right to lodge a complaint with the supervisory authority;
8. providing personal data is voluntary, however refusal to provide data may result in

• refusal to provide a hotel service - in the case of data processed in order to conclude a hotel service contract;
• refusal of reservation - in case of booking a room;

Your data will not be profiled.
